You do not have to live near a repair shop. How to pack, insure and send a laptop, MacBook or console for repair β€” and what should happen once it arrives.

How to Courier a Device for Repair in South Africa

If the nearest decent repair shop is three towns away, you are not stuck. Couriering a laptop, MacBook or console to a workshop is routine, and for anything beyond a quick look it is often faster than driving somewhere and waiting for a slot. The catch is that most damage to posted devices happens in the packing, not in the van.

Here is how to send one properly, what to do before it leaves your hands, and what should happen once it arrives.

When couriering makes sense β€” and when it does not

It makes sense for anything that fits in a box and does not need to be seen in place: laptops, MacBooks, consoles, tablets, external drives, controllers. Board-level work in particular is worth sending, because the workshops that do fine soldering are thin on the ground and the alternative is often no repair at all.

It does not make sense for desktop towers unless you have no other option β€” they are heavy, awkward, and shipping usually costs more than a local callout would. It also does not make sense when the fault might be something simple you can check first. Ask before you pay for shipping, and ask specifically: is this worth sending, or is there something I should try here? A shop that answers that honestly is one worth using.

Before it leaves the house

Back up if it still starts

This is the one thing people skip and regret. Any competent workshop will tell you before doing something that risks your data, but a backup you made yourself is the only guarantee. If the machine boots at all, copy your files to an external drive or the cloud first. If it does not boot, say so up front β€” data recovery is a different job to a repair, and it changes the approach.

Sign out of what will lock the device

A Mac with Activation Lock still on cannot be fully tested after a repair. Sign out of Find My, or have your Apple ID ready. Same for Windows devices with BitLocker: keep the recovery key somewhere you can reach it. Nothing wastes more time than a repaired machine that nobody can get into to confirm the repair worked.

Write down what is actually wrong

"It is broken" tells a technician nothing. "It powers on, fan spins, no picture on any screen, started after it was knocked while charging" tells them roughly where to look before they have even opened it. Note when it started, what changed, and anything you have already tried.

Packing it so it survives the trip

Couriers are not gentle, and they are not supposed to be. Your parcel will be stacked, slid and dropped a short distance more than once. Pack for that and it will be fine.

  • Use the original box if you kept it. Consoles especially β€” the moulded inserts are better than anything you will improvise.
  • Otherwise, box in box. Wrap the device, put it in a snug box, then put that box inside a bigger one with padding all round. The gap is what absorbs the impact.
  • Fill every void. If it rattles when you shake it, it will rattle for 800 kilometres. Bubble wrap, foam, crumpled paper β€” anything that stops movement.
  • Protect the screen. A laptop screen cracks from pressure on a closed lid. Do not put anything heavy on top, including the charger.
  • Tape the box properly. Along every seam, not one strip across the middle.

What to leave at home

Send the device and, if the fault involves them, the charger or cable. Leave out games, controllers, carry bags, memory cards and anything else that is not needed. Less to pack, less to insure, and less to go missing. Ask what the workshop actually wants β€” for a console HDMI port, they need the console and nothing else.

Tracking and insurance are not optional

Use a tracked service and declare the value. The extra costs very little next to what you are sending, and without it a lost parcel is simply a lost parcel. Keep the tracking number and the proof of what you declared until the device is back in your hands.

Mark the outside of the parcel for repairs, with the name and phone number you gave when you booked. Workshops receive parcels every day; an unlabelled box with no reference attached to it is the slowest possible start.

What should happen when it arrives

A workshop worth sending to will follow roughly this order, and will tell you where you are at each step:

  1. They confirm it arrived and matched it to your booking.
  2. They diagnose the actual fault, rather than working from your description alone. This should not cost you anything.
  3. They quote you in writing β€” the work, the parts, and what it will come to.
  4. You decide. If you say no, you should owe nothing but the return shipping.
  5. They repair it and send it back, with an update while it is there rather than silence.

Be wary of anyone who quotes a firm price before they have seen the device. The same cracked screen can differ by hundreds of rands between two laptop models, and a number given over the phone before diagnosis is a number that tends to grow later.

How long it takes

Shipping is usually one to three working days each way within South Africa, depending on the courier and whether you are on a main route. The repair itself is often quicker than the travel. The genuine delay is almost always a part that has to be ordered in, which is worth asking about when you get the quote β€” not after.
